
How to Add a Company Seal to a Document
Learn the professional way to digitize and correctly apply your company's official seal to any digital contract or invoice.
In many jurisdictions and industries, a signature alone isn't enough to make a corporate document officially recognized or legally binding. A company seal (often referred to as a corporate stamp or company chop) is required to authenticate contracts, tax filings, invoices, and legal agreements.
As modern businesses transition to a fully digital and remote workflow, learning how to add a company seal to a digital document is an absolute necessity.

What is a Digital Company Seal?
A digital company seal operates identically to a traditional physical rubber stamp. It's essentially a perfectly scaled, high-quality digital graphic (usually a PNG) that replicates your physical seal, and it is superimposed onto a digital document file.
However, applying it correctly involves more than just pasting a low-quality, pixelated screenshot. It needs to look completely authentic, clean, and properly integrated into the document's formal structure.
Step 1: Digitize Your Seal
If you haven't already done so, you need to securely digitize your existing physical corporate seal.
- Firmly stamp the physical seal on a blank, clean piece of white paper.
- Scan the document at a very high resolution (at least 300 DPI) or take a well-lit macroscopic photograph.
- Use a dedicated online digital tool to extract the stamp ink and make its background fully transparent.
If you don't already have one, many founders opt to design a brand-new, purely digital seal natively on their computer using stamp generation software!
Step 2: Access Your Digital Library
Once you have your clean, transparent PNG file, log into your document management or team stamping application. By keeping your company seals securely in a centralized digital library, your entire authorized team can access the correct, most up-to-date versions instantly.

Select the appropriate seal you need for your current document. Keep in mind that enterprise business teams often maintain different specialized seals for different departments (e.g., HR, Finance, or Legal).
Step 3: Apply Near the Signature
When applying the seal, precision placement is key. The accepted industry standard is to place the company seal right next to, or slightly overlapping, the primary authorized executive's signature line.

When applying the graphic, make sure the seal is:
- Resized proportionally: It shouldn't awkwardly dwarf the signature or appear smaller than normal.
- Partially transparent: Applying a 90% opacity blending mode often makes it look significantly more realistic, allowing the underlying text or signature pen strokes to subtly peek through.
Once perfectly positioned, simply export or flatten your PDF. Your document is now officially sealed and ready to be securely sent to your clients or corporate partners!
